Matching, duplicates, and line-level accuracy

Invoice automation is judged on the hard cases: a bill that has to line up against a PO and a receipt, a duplicate that slips in from a resent email, and a line-item grid that has to be right to the penny. This is where DynamoDocs does the work most tools leave to your team.

Two- and three-way matching

When an invoice references a PO, DynamoDocs matches header and line quantities and prices against the purchase order (and receipt where you use one), so quantity and price discrepancies surface before the bill posts, well ahead of month-end.

Duplicate-invoice detection

Resent emails, PDF plus scanned copies, and vendors who re-bill are caught by matching on vendor, invoice number, and amount, so the same invoice does not get paid twice.

Full line-item extraction

Every line (part number, description, quantity, unit price, tax, and total) is read and math-checked alongside the invoice total, so coded and matched bills are accurate at the line level.

Vendor-format resilience

Because extraction is AI-based rather than template-based, a new vendor or a changed layout does not break processing or require a new template to be built first.

Credit memos too

A credit note is not a negative invoice. It is classified as its own type, linked to the invoice it offsets, flagged when nothing references it or the credits pile past the invoice they cite, and posted as a vendor credit where your ERP supports one.

Checked against the vendor's own statement

When a vendor sends a statement, every line is reconciled against the invoices and credits already captured, surfacing invoices you never received, amounts that disagree to the cent, and lines listed twice.

Measured on real production volume

A midsize distributor runs about 1,900 supplier invoices a month through DynamoDocs, matched against purchase orders in Epicor Prophet 21. Across the first 6,485 invoices, 97% needed no manual correction and two thirds matched with no human touch at all. The review queue caught more than 400 genuine pricing and quantity errors before they were paid.

Does DynamoDocs do PO matching on invoices?

Yes. When an invoice references a purchase order, DynamoDocs performs two-way matching against the PO (and three-way matching against the receipt where you use goods receipts), comparing header totals and line-level quantities and prices. Matches within your tolerance post automatically; anything outside tolerance is flagged as an exception with the specific line and field that disagrees, so an AP clerk resolves a price or quantity variance in seconds instead of hunting across three documents. This catches over-billing and quantity errors before a bill enters your ledger, while they are still cheap to unwind, and not after payment has gone out.

How does it stop duplicate invoices from being paid?

Duplicates are one of the most common sources of overpayment, and they arrive in ordinary ways: a vendor resends an email, someone forwards a PDF that was also scanned, or a statement is processed as a bill. DynamoDocs checks each incoming invoice against what it has already seen using vendor identity, invoice number, and amount, and flags likely duplicates before they post. You review the match and decide, so the same invoice is not keyed and paid twice. Manual data entry simply does not provide that control.

Is invoice automation just OCR?

No, and the difference matters for accuracy. Traditional OCR converts an image to raw text and usually needs a template built for each vendor's layout, so a new or changed layout breaks it and someone has to build another template. DynamoDocs uses AI to understand the document instead: it identifies which number is the total, which date is the due date, and which rows are line items, on layouts it has never seen, including scans and photos. It then validates the result against your rules and posts it into your ERP as the correct record. OCR is just one step in that path; DynamoDocs handles the whole route from inbox to posted, matched, and coded record, which is why it holds up across hundreds of vendors without a template library to maintain.

Which ERPs and document sources are supported?

ERP targets include Infor XA, SAP, Dynamics 365, Business Central, QuickBooks Online, NetSuite, Sage Intacct, Sage 50, Xero, Acumatica, Epicor Kinetic, Epicor Prophet 21, SYSPRO, IFS Cloud, Plex, Macola, Deltek Costpoint, Sage 100, Sage 300, Dynamics GP, Oracle ERP Cloud, Odoo, and Zoho Books, plus any system via a generic REST or CSV connector. Documents arrive via Microsoft 365, Google Workspace/Gmail, any IMAP mailbox, drag-and-drop upload, or EDI, over SFTP, AS2, or a folder your VAN client already watches.

How accurate is it, and what happens to errors?

Every document is validated automatically. Clean ones pass through on their own. Anything that fails a rule is flagged field by field and sent to a review queue, so people only handle the exceptions. You can also train the extractor on your own sample documents to improve accuracy on your vendors' formats.

Do we need a developer to set it up?

No. Document types, fields, validation rules, and ERP field mappings are all configuration edited in a Settings UI. Adding a type or field is a settings change, not a coding project.
